Why Bazar Expense Tracking Falls Apart in a Notebook

Every hostel and mess runs on the same daily ritual: someone goes to the market, spends money on behalf of the group, and writes it down somewhere. The "somewhere" is usually a notebook, a WhatsApp message, or — optimistically — a spreadsheet nobody else opens. All three fail the same way: they can tell you that money was spent, but not enough to settle anything fairly at month end.

What a bazar entry actually needs

A single market run isn't just an amount. To be useful later, it needs:

The rota problem

The other place paper falls apart is deciding who shops next. "Whoever's free" turns into nobody being free, which turns into the same one or two people doing all the shopping every month. A bazar duty rota — a single date, a date range, or a full rotation template assigned across members — fixes the assignment problem outright, and a reminder sent 1 to 168 hours ahead (the default is 12), delivered both in-app and by email, fixes the "I forgot it was my turn" problem.

Why per-member summaries matter

Once entries are logged properly, a per-member bazar summary answers a question that's genuinely hard to reconstruct from a notebook: who has fronted the most cash for the group this month, and how much of that has actually been credited back to them? That figure feeds directly into the fund ledger — a member who pays out of pocket for a market run is auto-credited, so their bill at month end already reflects it instead of requiring a manual adjustment.

It's still just a record

None of this turns a bazar entry into a transaction. Logging a payment source as "shared fund" or "own pocket" records what happened; it doesn't move money anywhere. The value is entirely in the record being complete and attributable, so month-end billing has real numbers to divide instead of an approximation everyone half-trusts.
